MiShare

Service Description 

MiShare is a secure, collaborative, file transfer system provided by Health Information Technology & Services (HITS). It allows for the secure transfer of files that contain sensitive data, including those that contain Protected Health Information (PHI). MiShare may be used to share files internally within the Michgian Medicine system, and externally with business or research partners. It is primarily designed for use by Michigan Medicine users.

Only users with a Michigan Medicine Level 2 account and a med.umich.edu email address are automatically provisioned into MiShare. It is also noteworthy that MiShare is not a storage service. Files are only available for five days. Files older than five days are automatically deleted.

Compliance 

MiShare has been approved for the sharing of sensitive information, including Protected Health Information (PHI), by the Michigan Medicine Compliance Office. The service encrypts files when they are uploaded and downloaded, as well as while they are stored on the MiShare server. In addition, MiShare is designated by HITS as a platinum-level service with 24 x 7 x 365 support. Complying with HIPAA's requirements is a shared responsibility. Users sharing and storing PHI in MiShare are responsible for complying with HIPAA safeguards, including:

  • Using and disclosing only the minimum necessary PHI for the intended purpose.
  • Obtaining all required authorizations for using and disclosing PHI.
  • Ensuring that PHI is seen only by those who are authorized to see it.
  • Following any additional steps required by your unit to comply with HIPAA.
