The Document Imaging System is an enterprise content management system that enables users to efficiently capture and organize images of paper documents or born-digital documents, retrieve those documents, and instantly access them using a web or client interface.
ITS Document Imaging System provides a secure environment for many types of sensitive institutional data. Note: Social Security numbers should only be used where required by law or where they are essential for university business processes.
In addition, all users of the system are expected to annually review and agree to the Institutional Data Access and Compliance Agreement.
Complying with HIPAA's requirements is a shared responsibility. You are responsible for complying with HIPAA safeguards, including:
- Using and disclosing only the minimum necessary PHI for the intended purpose.
- Obtaining all required authorizations for using and disclosing PHI.
- Ensuring that PHI is seen only by those who are authorized to see it.
- Following any additional steps required by your unit to comply with HIPAA.
